Shared stock records for your online shop, store and warehouse

Separate stock records across a shop, store and warehouse require regular reconciliation. Retailers come to us with Xentral, weclapp, Lexware or Shopify without a connected ERP. Prantl in Munich uses a shared Odoo product catalogue for its till and online shop. We connected Shopify for Teknes and brought three shop brands into one database for Raumschmiede. These examples show the standard functions and the customisations around them.

Where retailers switch from

As a business grows, the processes behind its shop often face new demands. We begin by reviewing the systems already in use.

From Xentral. Xentral is strong on marketplace connectors and shipping. It has no CRM of its own and only a simple production module. Once you make your own products or build B2B sales, you end up adding a second and third system.

From weclapp. Customers, products, prices and open items are transferred at the agreed cutover date. We have not published a weclapp–Odoo comparison; the initial conversation focuses on your reasons for moving.

From Lexware. Lexware is accounting software, not a shop system. Orders come in through a connector or an import, and stock lives somewhere else. With your own warehouse and store, that gets tight.

From Shopify without an ERP. Odoo can connect orders held in Shopify with stock and accounting previously managed elsewhere. Shopify does not need to be replaced: Teknes continues using it while running purchasing, inventory and shipping in Odoo.

For side-by-side comparisons, see our guides Odoo vs Xentral and Odoo vs Lexware.

Five places where online retailers lose time

  1. Reconcile stock across sales channels. Standard Odoo gives the till, online shop and warehouse a shared product catalogue and stock record. At Prantl, withdrawing a product from the shop also removes it from the store till automatically.

  2. Connect returns and credit notes. Odoo creates returns from the delivery order and credit notes from the invoice. This relationship is standard. A self-service portal for customers to register returns needs additional implementation.

  3. EU shipping and VAT. Selling into other EU countries needs the right rate per destination. Odoo sets up the tax mapping for the OSS scheme as standard. Whether your tax adviser needs those cases in the DATEV export the way Odoo delivers them, we check before we quote.

  4. Prepare the DATEV export. Prantl previously assembled quarterly files for its tax adviser manually from monthly exports. DATEV export is standard in Odoo Enterprise. For Rauschenberger, we added a posting-type column after discussion with accounting. We establish such requirements before implementation.

  5. Avoid duplicate records during shop synchronisation. Prantl’s integration reads existing data and creates new orders as drafts. Repeated synchronisation does not duplicate customers, products or orders. We configured this integration; it is not part of standard Odoo.

What is standard and what we build

Odoo includes its own web shop, a point of sale, inventory, purchasing, accounting and the DATEV export. If you are planning a new shop, you can run it directly in Odoo. For Amazon, Odoo Enterprise has its own connector.

An existing Shopify or Shopware shop needs a developed integration or a purchased connector. Other customisations may cover print and shipping templates or configurator data. Standard Odoo meets 13 of Prantl’s 18 documented requirements; only the remainder need custom code.

What our references show

The three retailers came to us from very different starting points.

Prantl, Munich: fine stationery with a store and an online shop. The till runs on the real shop range, with cash and card payments, German localisation and the tax rates from the shop. The team has 11 video lessons in 5 chapters. As of September 2026, the store go-live and the live order process are still ahead.

Raumschmiede, Genderkingen: three shop brands, Garten und Freizeit, Betten.de and Piolo, plus in-house production. Orders from all shops arrive in Odoo automatically, with one stock across all brands.

Teknes (Respare): e-bike parts and accessories sold through respare.fr on Shopify. Shopify stayed; purchasing, stock and shipping run in Odoo.

What this page does not promise

Odoo has no native connector for Otto, Kaufland or Zalando. Published references with many connected marketplaces are not available at present; we arrange reference calls on request. If most of your revenue comes through marketplaces and you make nothing yourself, a specialist system is often the better fit. We will tell you that in the first call.

Your first step: one return from last week

A recent return provides a useful way to review the work involved. Describe the steps from the shop to the DATEV credit note and the systems used. Send the overview through the contact form. We reply within one business day and demonstrate the standard Odoo workflow in the meeting. You can review our packages and prices beforehand.
