Challenges & Solutions

From problem to solution

Your challenges

  • Only the sales team knows each customer's terms
  • Backorders and partial deliveries live in a spreadsheet
  • Credit limits get checked when someone remembers
  • Supplier prices can't be compared side by side
  • Month-end consolidated invoices are built by hand
1Odoo standard: pricelists per customer with tiers and validity
2Odoo standard: multi-warehouse, transfers, backorders and partial deliveries
3Odoo standard: credit limit with a warning on the order
4Odoo standard: DATEV export for the tax adviser
5Not standard: EDI orders from large retail customers

Manage customer terms, inventory and backorders centrally

Wholesale operations depend on consistent customer terms, stock movements and accounting. Odoo includes pricelists, quantity discounts, multiple warehouses and DATEV export as standard. Prantl and Raumschmiede show how warehouses, tills and shops share one product catalogue. Rauschenberger provides an example of DATEV export for two countries.

Does Odoo know our customer terms?

Odoo manages customer pricelists with fixed prices, discounts, quantity tiers and validity periods. These are standard functions that your sales administration team can maintain.

Before configuration, we establish which special terms apply. Verbal agreements also need to be expressed as clear rules. This review is part of project preparation.

What happens to backorders and partial deliveries?

If the warehouse can only ship part of an order, Odoo creates a backorder for the rest automatically. Inside sales can see on the order what has shipped and what is still open. You decide per customer whether partial deliveries are allowed. Several warehouses, transfers between sites and reorder points per product are standard too. Barcode picking runs in Odoo Enterprise without an add-on.

Who stops the order when the credit limit is reached?

Set a credit limit for each customer. If a new order would exceed it, a warning appears on the order. Open items and dunning stages are available in the same database for the sales administration team to check.

How do we compare supplier prices?

For each product and supplier, you can record price, minimum quantity and lead time. Tender requests can be sent to several suppliers and their quotes compared. Blanket purchase agreements are standard; sales call-off orders with remaining-quantity tracking require customisation if needed.

What does the tax adviser get, and how do consolidated invoices work?

Standard Odoo can combine several deliveries to the same customer into one invoice, for example at month-end. Odoo Enterprise also includes DATEV export. For Rauschenberger, we configured it with the accounting team for German and Spanish entities. See the Odoo DATEV integration guide for details.

Can customers reorder on their own?

Customers can log into the Odoo webshop to see their agreed prices. The customer portal displays their orders, deliveries and invoices. Both are standard functions. Customer-specific ordering catalogues or approval steps before ordering require customisation.

How does our data get out of the old system?

At the agreed cutover date, we transfer customers, suppliers, products, pricelists, open items and inventory. Historical orders and invoices usually remain in the legacy system or archive because reposting them in Odoo involves substantial work. We schedule the switch around month-end closing and stocktakes. Beforehand, you check units, packaging and supplier prices using your own products in a test database.

Published references from wholesale are not available at present; we arrange reference calls on request.

Three related projects illustrate relevant processes. Prantl in Munich shares one product catalogue between its store till and online shop without duplicates from the shop integration. Raumschmiede in Genderkingen connects three shops, in-house manufacturing and shared stock across its brands. At Rauschenberger, seven entities use the same Odoo database.

What is not Odoo standard in wholesale

EDI orders from large retail customers need an additional interface, either developed by us or connected through a provider. Extensive product catalogues with many variants and supplier records also need a prepared import process. We estimate both tasks before quoting.

First step: five examples of your customer terms

Use the contact form to send terms for five customers with differing requirements, anonymised if you prefer. Include prices, tiers, special agreements and delivery rules. We model these examples in an Odoo test database and explain which rules the standard software supports. We reply within one business day. Packages are on the pricing page.

How does an order flow through your business?

Send us your requirements document or briefly describe how an order moves through your business. We will use it to assess which steps standard Odoo covers.
